KeenQuote is a software service operated as a sole trader business based in the United Kingdom. By using KeenQuote you agree to these Terms. Contact: support@keenquote.io
KeenQuote allows UK tradespeople to generate professional quotes using AI and send them to their customers by email. We provide the service "as is". We do not guarantee that the service will be available at all times. We may update, change, or discontinue features with reasonable notice.
You must provide accurate information when registering. You are responsible for keeping your password secure and for all activity under your account. You must be at least 18 years old and using the service for legitimate business purposes. You may not share your account or use it on behalf of others without their consent.
The free plan allows 5 quotes per calendar month. The Solo Trader plan is £19.99/month, billed monthly, and allows unlimited quotes. Payments are processed by Stripe. Your subscription renews automatically until cancelled. You may cancel at any time from your settings — cancellation takes effect at the end of the current billing period with no refund for the remaining days. We reserve the right to change pricing with at least 30 days' notice to existing subscribers.
You own the quotes you generate. The AI-generated content produced using your job descriptions is yours to use, send, and retain. You grant KeenQuote no licence to your quote content beyond what is necessary to deliver the service (e.g. generating the PDF, sending the email). KeenQuote owns the platform, software, and all non-user-generated content.
You must not use KeenQuote to: • Send spam or unsolicited commercial email beyond the intended quote delivery • Impersonate another person or business • Upload malicious files or attempt to compromise the service • Use the service for any unlawful purpose We reserve the right to suspend or terminate accounts that violate these terms.
To the maximum extent permitted by law, KeenQuote's liability to you for any claim arising from use of the service is limited to the amount you paid in the 12 months before the claim arose. We are not liable for: loss of profits, loss of business, indirect or consequential losses, errors in AI-generated quote content, or failure to deliver emails due to third-party service issues (Resend, Stripe, Anthropic). Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud.
You may delete your account at any time from Settings. All your data is permanently deleted within 24 hours. We may suspend or terminate your account immediately if you violate these terms, if we are required to by law, or if continuing to operate the service becomes commercially unviable (in which case we will give at least 30 days' notice and pro-rata refund any prepaid subscription).
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
This section constitutes a Data Processing Agreement under UK GDPR Article 28. **Roles** You (the tradesperson) are the Data Controller. You determine why and how your customers' personal data is used. KeenQuote is the Data Processor. We process your customers' personal data only on your instructions — to generate quotes and send emails on your behalf. **What data we process on your behalf** Customer names, email addresses, phone numbers, and job descriptions that you enter when creating quotes. **Purpose** Solely to deliver the KeenQuote service: generating quote documents and sending them to your customers by email. **Sub-processors** We use the following sub-processors to deliver the service. Each is bound by their own data protection obligations: • Anthropic (Claude AI) — processes job descriptions to generate quote content • Resend — delivers transactional emails to your customers • Sentry — error monitoring (may capture anonymised request metadata) • Stripe — payment processing (does not receive customer quote data) • Hetzner/OVH — VPS hosting in the EU **Retention and deletion** We retain customer data for as long as your account is active. When you delete a quote or your account, the associated customer data is permanently deleted within 24 hours. **Security** We implement appropriate technical measures including: encrypted connections (HTTPS), hashed passwords, httpOnly authentication cookies, rate limiting, and regular offsite backups. **Your obligations as Data Controller** You are responsible for having a lawful basis to send quotes and follow-up emails to your customers. The tradesperson–customer relationship typically provides a legitimate interest basis. You must not enter personal data of individuals you have no business relationship with.
We will notify you by email at least 14 days before any material change to these terms. Continued use of the service after the change takes effect constitutes acceptance.
