Quick start

How do I create a quote?
From your dashboard, click "New Quote" and describe the job in plain English — the more detail, the better. The AI writes the scope, inclusions, exclusions, timeline, terms and warranty. Then add your price and your customer's details.
How do I send a quote to my customer?
After generating a quote, add your price and the customer's name plus their email or phone number. Click "Get shareable link" to create the link (copy it or share via WhatsApp), or click "Or send via Email" to email the quote straight to them. You can also download a PDF. You'll need to verify your email address before your first send.
Can I edit a quote after generating it?
Yes. Before sending, click any section — scope, inclusions, exclusions, timeline, terms, warranty or price — to edit it. Editing is free on every plan.

Sharing quotes

How do I share via WhatsApp?
On the send screen (and again after sending) there's a WhatsApp button. Tap it and WhatsApp opens with a pre-written message containing your quote link. If you entered the customer's phone number, it opens their chat directly.
Can I share by text/iMessage?
Yes. Copy the quote link and paste it into any messaging app. The link shows a preview with your business name and the quote amount.
What does my customer see?
A clean, professional quote page with your business name, the full scope of work and price, and buttons to Accept or Decline. They can also download a PDF or ask you a question straight from the page — no login needed.

Tracking & follow-ups

How do I know when a customer accepts or declines?
You get an email either way — free on every plan. If they decline, you'll see their reason (if they gave one). An accepted quote can be marked as "Won" once the job is booked.
Can I see when a customer opens my quote?
On Pro, yes: you get a live "just opened" email the moment a customer first views the quote, plus an "Opened" date on the quote in your dashboard. Open tracking is a Pro feature — accept and decline notifications are free for everyone.
What's the automatic follow-up?
If a customer hasn't responded after 72 hours (adjustable in Settings), KeenQuote prepares a polite follow-up for you. By default you approve it with one tap from an email before it goes out. The free plan covers one quote a month; Pro chases every quote — and Pro users can turn on "Send my follow-ups automatically" in Settings to skip the approval step.

Building your quote

How does the VAT toggle work?
When creating a quote, turn on "Add VAT (20%)" to show subtotal, VAT and total. Your customer sees the full breakdown. Free on every plan.
Can I ask for a deposit?
Yes. Add an optional deposit amount and it appears prominently on the quote so the customer knows what's needed upfront. Free on every plan.
Can I revise a quote after sending it?
Yes. Click "Revise" to create a new version — the old one is marked superseded and your customer sees a link to the latest. The first revision of a sent quote is free; further revisions and duplicates count towards your monthly quota on the free plan (unlimited on Pro).
Can I save time on repeat jobs?
Yes. Save any job description as a reusable template from the dashboard, and set a custom quote-number prefix (e.g. "AB-001") in Settings. Both are free.

What you get with Pro

What does Pro include?
Unlimited quotes (no monthly cap), quote open tracking (the "just opened" email + "Opened" timestamp), unlimited automatic follow-ups with optional auto-send, AI coaching and AI Enhance, and white-label PDFs. £19.99/month or £159/year (save about 33%).
What's AI coaching?
A Pro feature. Open a quote and click "Get AI coaching" — the AI scores your quote out of 10 and gives specific suggestions to improve your chances of winning the job.
What's AI Enhance?
A Pro feature. After generating a quote, click "Enhance with AI" and pick a style — professional, detailed, concise, plain language or persuasive. The AI rewrites your scope and terms in that style while keeping your content.
What's a white-label PDF?
On Pro, turn on "White-label PDF" in Settings to remove the "Made with KeenQuote" footer from your customer's PDF, emails and link previews — so everything they see is fully your brand.

Install on your phone

How do I add KeenQuote to my home screen? (iPhone)
Open keenquote.com in Safari. Tap the Share button (square with arrow), scroll down and tap "Add to Home Screen". You'll get an app icon that opens KeenQuote like a native app. No App Store needed.
How do I add KeenQuote to my home screen? (Android)
Open keenquote.com in Chrome. Tap the three-dot menu, then "Add to Home screen" or "Install app". You'll get an app icon on your home screen that opens KeenQuote in full-screen mode.
Is there a mobile app?
KeenQuote works as a web app that you can install on your phone (see above). It works just like a native app: full screen, fast, works offline for viewing. No app store download needed.

Account & billing

How do I upgrade to Pro?
In your dashboard you'll see your quota bar showing how many free quotes you have left. Click "Upgrade" to go Pro: unlimited quotes, open tracking, unlimited auto follow-ups, AI coaching and Enhance, and white-label PDFs. £19.99/month or £159/year.
Can I cancel anytime?
Yes. Go to Settings and click "Cancel subscription" in the Danger Zone. No lock-in, no fees. You keep access until the end of your billing period.
How do I export my data?
Go to Settings and click "Export my data". You'll get a JSON file with all your account info, quotes, and history. You can also export quotes as CSV from the Quotes view.
How do I delete my account?
Go to Settings → Danger Zone → "Delete my account". This permanently removes all your data. If you have a Pro subscription, it's cancelled automatically.
